Terms & Conditions

Effective Date: February 16, 2026
These Terms & Conditions guide the relationship between Gbewaa Legacy School (“the School”, “we”, “us”, “our”) and parents/guardians, students, and visitors (“you”) regarding enrollment, school services, and participation in school activities.

By enrolling a student, paying fees, using school services, or participating in school programs, you agree to these Terms.

1) Admissions and Enrollment

  • Admission is granted based on available space and successful completion of the School’s admission process.
  • Parents/guardians must provide accurate student and guardian information during registration.
  • The School may request supporting documents (e.g., birth certificate, previous report, transfer letter, health information where applicable).
  • Providing false or misleading information may lead to withdrawal of admission.

2) Fees, Payments, and Financial Obligations

  • School fees and other charges (e.g., uniforms, PTA levies, books, exams, excursions) will be communicated by the School and may change when necessary.
  • Fees are payable by the deadlines set by the School. Late payment may result in restrictions on access to certain services (where allowed by School policy).
  • Receipts must be kept as proof of payment.
  • Any outstanding balances must be cleared before final reports, transfers, or certain official documents are issued (subject to School policy).

3) Refund Policy

  • Fees paid are generally non-refundable once the term/session has begun, except where the School approves otherwise in writing.
  • Refunds may be considered only in special cases (for example, duplicate payments or verified billing errors).
  • Where a refund is approved, processing timelines will depend on the payment method used.

4) Attendance and Punctuality

  • Students are expected to attend school regularly and arrive on time.
  • Parents/guardians should inform the School of absences and provide justification where required.
  • Repeated lateness or absenteeism may lead to follow-up meetings and appropriate interventions.

5) Student Conduct and Discipline

  • Students must follow School rules and respect staff, fellow students, and school property.
  • Bullying, fighting, harassment, discrimination, theft, and possession of dangerous items are strictly prohibited.
  • The School may apply disciplinary actions that are fair and appropriate, including warnings, suspensions, or other measures based on the School’s disciplinary procedures.

6) Academic Progress and Assessments

  • The School will assess student progress through classwork, tests, examinations, and continuous assessments.
  • Promotion to the next class may depend on performance and overall academic readiness.
  • Parents/guardians are encouraged to support learning at home and attend academic meetings when invited.

7) Communication and Parent/Guardian Responsibilities

  • Parents/guardians should provide correct contact details and update them when changes occur.
  • Parents/guardians should respond promptly to official school communications and attend meetings when requested.
  • The School may communicate through letters, phone calls, messaging platforms, school portals, or other official channels.

8) Health, Safety, and Emergency

  • Parents/guardians must disclose relevant health conditions that may affect the student’s wellbeing at school (as appropriate).
  • In emergencies, the School may take reasonable steps to secure immediate care and contact the parent/guardian using provided details.
  • Students must follow all safety rules on campus and during school activities.

9) School Property and Damages

  • Students are responsible for keeping school property in good condition.
  • Parents/guardians may be required to pay for loss or damage caused intentionally or through negligence.

10) Uniform and Appearance

  • Students must wear the approved school uniform and maintain neat grooming standards as required by the School.
  • The School may restrict entry into classes or activities where uniform policies are repeatedly ignored, according to School rules.

11) Field Trips, Events, and Extra Activities

  • Some activities may require signed consent and additional fees.
  • The School will provide details before major events or trips.
  • Students are expected to behave responsibly during all school programs and off-campus activities.

12) Photography, Media, and Publicity

  • The School may take photos/videos during school activities for internal records and school communications.
  • Where images are used publicly (e.g., website/social media), the School will follow its internal guidelines and applicable consent practices.
  • Parents/guardians may communicate concerns to the School administration.

13) Data and Privacy

  • The School collects and uses student and parent/guardian information to manage admissions, academics, communication, and administration.
  • Access to student records is limited to authorized staff.
  • Parents/guardians may request updates or corrections to student details through the school administration.

14) Withdrawal and Transfer

  • Parents/guardians who wish to withdraw a student should notify the School formally.
  • Transfer documents may be issued subject to completion of required procedures, clearance of obligations, and submission of any required forms.
