Refund Cancellation

This Refund & Cancellation Policy explains how payments, cancellations, and refunds are handled at Gbewaa Legacy School (“the School”, “we”, “us”, “our”). By paying any school-related fees, you agree to this policy.
1) Scope
This policy applies to payments made for:
- Tuition/academic fees
- Admission/registration fees
- PTA levies and approved school levies
- Uniforms, books, and learning materials (where sold by the School)
- Examination fees (where applicable)
- Trips/excursions and special programs
- Any other services officially billed by the School
2) General Rule on Refunds
Because school services are planned and delivered based on enrollment, staffing, and resource commitments, fees are generally non-refundable once a term/session has started.
However, the School may consider refunds in limited situations outlined below.
3) Cancellations
Parent/guardian cancellations may apply to specific items such as:
- School trips/excursions
- Special programs (holiday classes, extra lessons, events)
- Purchases of items not yet issued (uniforms/books/materials)
Cancellations must be made through the School Administration within the timelines communicated for the activity or service.
4) When Refunds May Be Considered
Refunds may be considered only in special cases such as:
- Duplicate payments or overpayments confirmed by receipts/records
- Billing errors caused by the School’s internal processing
- Cancellation of a school trip or program by the School
- Withdrawal of a student before services begin (case-by-case, depending on the fee type)
Where a refund is approved, the amount may be reduced by any costs already incurred (for example: purchased materials, reserved transport, administrative processing).
5) Non-Refundable Items (Common Examples)
The following are typically non-refundable:
- Admission and registration fees (once processed)
- Tuition/academic fees after the term/session begins
- Uniforms or materials already issued or customized
- Examination-related fees after registration for exams is completed
- Trip fees if cancellation is outside the stated deadline or if costs have already been committed
6) Withdrawal and Fee Obligations
If a student is withdrawn:
- Outstanding balances remain payable up to the withdrawal date, based on the School’s fee structure and policies.
- Refund decisions (if any) will follow this policy and the School’s administrative review.
7) Refund Processing Time and Method
- Approved refunds are processed using a method determined by the School (for example: cash, bank transfer, or mobile money), depending on the original payment method and School practice.
- Processing may take 5–15 working days after approval, depending on verification and administrative procedures.
8) How to Request a Refund
A parent/guardian must submit:
- Student name and class
- Reason for refund request
- Proof of payment (receipt or transaction reference)
- Contact details
Requests are reviewed by the School Administration, and a decision will be communicated officially.
9) Policy Updates
The School may update this policy when necessary. Updates will be communicated through official school channels.
